Vismara: A leap in efficiency thanks to digital transport management

X4fleet has transformed transport operations by replacing paper-based dispatching with a centralized digital system that enables real-time visibility of vehicle locations, transport orders, and driver activities across all departments—from dispatch and warehouse to weighbridge and workshop.

Before we implemented X4fleet, our dispatchers managed transport orders using printed delivery notes and handed them directly to the drivers. Thanks to X4fleet, we have not only become paperless in dispatching but can also incorporate last-minute changes into digital planning. In addition to drivers and dispatchers, employees at the weighbridge, in the warehouse, or in the workshop also use X4fleet to see which vehicle is where at any given time and which transport orders need to be processed. X4fleet has thus become a central system for us, as it supports internal company communication. One example is the weighbridge operator, who previously had to speak personally with each driver to obtain the necessary information for weighing. This made him a bottleneck. By looking at X4fleet, he can now estimate in advance when which vehicle with which load will arrive. This allows him to work more efficiently. 

Furthermore, our drivers had to wait every morning in the dispatch office for their transport orders, clarify questions, and check at short notice whether they had all the required materials and equipment. Now, using X4fleet, drivers can now view their next route the day before and prepare accordingly. This means fewer surprises, eliminates tedious waiting, and staff are less rushed. Additionally, X4fleet can be accessed from anywhere via a browser, so a dispatcher can make updates spontaneously and regardless of location, keeping the trucks moving. The same applies to warehouse staff, who can now prepare the appropriate pallets without having to speak with the dispatcher or driver first. 

X4fleet also removed a blind spot we had in the office regarding driver activities that were unplanned. Additional services were only recorded by hand, and if a customer was not on site, we had to revisit the address later. Thanks to X4fleet and the DriverApp, the driver can now record additional activities as ad-hoc orders or digitally log unplanned events (such as a customer not being present). This allows us to document and invoice these efforts to the customer.
